office, paper is still a necessary evil for most of our clients. Try
one or two of these easy-to-implement and high ROI tips -- and let us know

SOLVE YOUR "PAPER JAM" Pause Before Piling Ask yourself, "Must I keep this?" before you think about
where to file it. This one little step saves you time, keeps down the
clutter, gives you more filing space and makes it easier to locate important
documents when you need them. Make a Date Date and label papers. Make sure to
include the month, day and
year. Prevent the quizzical look on your face when you come
across a paper and wonder "What is this phone number?" or
"When did I write this?" Go Green -- Reuse
Avoid "Crossed Wires" Use staples or binder clips instead of paper
clips to avoid catching papers that do not belong together. How many
times have you searched for a specific paper only to find it at a later date
attached accidentally to something else? Get Front and Center List the contents of a filing cabinet (by
drawer) and keep it in a prominent spot. You'll find your documents
quickly and avoid multiple files with the same name. And your
co-workers and assistant will be eternally grateful. Dump the Duplicates If you have an electronic version (either an
imaged copy or the original electronic file) of a paper file, rely on your
electronic organizing systems. You may have printed something out to read or
revise, but for most companies, the electronic version is the official
business record. ------------------------------------------------ We are sometimes asked if scanning or imaging
paper files will improve efficiency. Our recommendation is to sort and
purge your paper files first before embarking on an imaging project.
Otherwise, you are simply transferring your problem from one format to
another. Unless you have a high-volume business process that produces
boatloads of paper, a simple and regular paper purging habit may bring the results
you desire without imaging. |
